This Privacy Policy explains how VaultAI collects, uses, protects, and discloses information in connection with our enterprise SaaS platform for M&A diligence, RFP automation, document intelligence, AI-assisted extraction, and related workflow services.
2. Information We Process
VaultAI may process account information such as name, business email, organization, role, billing status, authentication identifiers, and support communications. Customers may also upload transaction documents, RFPs, data-room files, diligence notes, financial metrics, compliance materials, prompts, outputs, and other business content necessary to use the service.
3. Sensitive M&A and Enterprise Data
VaultAI is designed for business workflows that may involve confidential transaction materials. We process customer content only to provide, secure, maintain, support, and improve the contracted services, or as otherwise directed by the customer or required by law. Customers are responsible for ensuring they have authority to upload and process all submitted materials.
4. How We Use Information
We use information to deliver the platform, authenticate users, manage accounts, process documents, generate AI-assisted outputs, provide customer support, maintain security, detect abuse, improve reliability, comply with legal obligations, and administer billing or enterprise agreements.
5. Cookies and Similar Technologies
VaultAI may use cookies, local storage, and similar technologies for authentication, session management, security, analytics, preferences, and performance monitoring. Users can control browser cookie settings, but disabling certain cookies may affect login, security, or platform functionality.
6. AI Processing
Customer content may be processed through AI models and orchestration services to provide extraction, summarization, classification, scoring, drafting, or workflow automation features. VaultAI configures these workflows to support enterprise use cases and does not sell customer content.
7. Security
VaultAI uses technical and organizational safeguards designed to protect information, including access controls, encrypted transport, administrative restrictions, and monitoring practices. No system can be guaranteed perfectly secure, and customers should use strong credentials, least-privilege access, and appropriate internal controls.
8. Sharing and Subprocessors
We may share information with service providers that help operate the platform, such as hosting, authentication, database, analytics, AI, payment, support, and infrastructure providers. These providers are authorized to process information only as needed to provide services to VaultAI and our customers.
9. Retention
VaultAI retains customer data for the duration needed to provide the service, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support legitimate business operations. Enterprise agreements may specify additional retention, deletion, or export requirements.
10. Your Rights and Choices
Depending on applicable law and your relationship with VaultAI, you may request access, correction, deletion, export, or restriction of certain personal information. Enterprise users should direct requests through their organization administrator when appropriate.
